Job Summary
Kforce's client, a leading Boston Real Estate company, is seeking an Office Administrative Manager. This role involves high-level initiatives, working closely with leadership to streamline office and functional operations. Key responsibilities include managing daily office operations, vendor relations, IT liaison, and ensuring compliance. The manager will also provide executive and team support, including technology commitment, CRM maintenance, and preparing communications. Furthermore, the role focuses on fostering a positive culture through event planning and employee engagement, and assisting with HR functions like recruiting, onboarding, and benefits administration. The ideal candidate possesses strong organizational, communication, and interpersonal skills, and is proficient in Microsoft Office Suite.
Must Have
- Manage day-to-day office operations, including supplies, equipment, vendor management, and facilities maintenance
- Serve as the primary liaison with building management, IT providers, and office service vendors
- Track software licenses, professional memberships and other pertinent information
- Ensure compliance with company policies, health & safety requirements, and best practices
- Support the company's commitment to technology (Yardi, Sharepoint, Salesforce, Paychex, etc.)
- Maintain company contacts in Salesforce CRM (all stakeholders: clients, tenants, lenders, investors, vendors and brokers)
- Assist with preparation of letters, leasing proposals, presentations, reports, employee communications, benefits administration and meeting materials for leadership and project teams
- Plan and coordinate office events, meetings, and team-building activities
- Act as a cultural ambassador by fostering a positive, professional, and inclusive office environment
- Serve as the point person for employee inquiries, ensuring strong internal communication
- Assist with recruiting and onboarding processes, coordinating university hiring, scheduling interviews and welcoming new hires
- Support new employee orientation and onboarding process
- Work with broker and HR annually on benefits offerings and send communications throughout the year related to benefits administration
- Strong organizational skills with the ability to manage multiple priorities and deadlines
- Excellent communication and interpersonal skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Resourceful problem-solver with a proactive, hands-on approach

This position offers the chance to take on high level initiatives and work closely with the leadership of the company. The ideal candidate will have the ability to deal with time sensitive issues in a timely and effective manner, while helping to streamline and make office and functional operations more efficient. Responsibilities:
Office Operations & Administration:
- Manage day-to-day office operations, including supplies, equipment, vendor management, and facilities maintenance
- Serve as the primary liaison with building management, IT providers, and office service vendors as needed
- Track software licenses, professional memberships and other pertinent information

Executive & Team Support:
- Support the company's commitment to technology (Yardi, Sharepoint, Salesforce. Paychex, etc.)

Requirements
- Bachelor's degree preferred, equivalent experience considered
- 4+ years of experience in office management, project management, executive support, or administrative roles; commercial real estate preferred
- Strong organizational skills with the ability to manage multiple priorities and deadlines
- Excellent communication and interpersonal skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Experience with commercial real estate software (Yardi, Salesforce, etc.) a plus
The pay range is the lowest to highest compensation we reasonably in good faith believe we would pay at posting for this role. We may ultimately pay more or less than this range. Employee pay is based on factors like relevant education, qualifications, certifications, experience, skills, seniority, location, performance, union contract and business needs. This range may be modified in the future.
We offer comprehensive benefits including medical/dental/vision insurance, HSA, FSA, 401(k), and life, disability & ADD insurance to eligible employees. Salaried personnel receive paid time off. Hourly employees are not eligible for paid time off unless required by law. Hourly employees on a Service Contract Act project are eligible for paid sick leave.
